Access 2007 design question...

Hi all,

I need some advice for a database I'm trying to create for a health drop-in I run once a week.

I've looked for a ready-made version but they don't really fit with what I want, i also wondered whether to use Excel as apposed to Access and if you guys think that's the better option - after reading what I need - then that's what I'll do :pray:

What I need is an area where I can input a young person's name, postcode, DOB, age, school, ethnic code (A, C, D etc) & whether they have a disability (yes/no). This ideally needs to be hidden due to Data Protection and confidentiality. Possibly even password protected incase my laptop gets stolen :upset: (which I'll write down and keep at home!).

I also need another area that is visible to me, which I can have up and running when the drop-in begins. So when a young person comes in for their condoms or pregnancy test, I can type in the date, their C Card Number (which needs to be linked to that hidden area which has their name, DOB etc), plus how many condoms I've given them, so 5 columns where under the condom variety (ribbed, normal etc) I can type 1 or 2 etc, plus a column for 'Disability' where I'll need to put either yes or no, also a column title of 'Visit' where I'll need to put new or repeat. I also need a column for 'ethnic code' where I'll type in A, C, D etc. Also for the preg' or chlamydia test a column for 'postive' or 'negative'.

Now, I did create an Excel document and had seperate pages for each month, so if my line manager wanted to know how many YP i'd seen for May I could click on the page and count down. The downside to this was having the YP's names on show, alongside their C Card Reg' Number and frequency of visits. The only way around this was to password protect the whole workbook.

You may wonder why I'm not using the Excel document - it's because I can't remember the password and so can't access the workbook! I didn't write it down because I trusted the app would stay in my IPhone, but on syncing it recently it completely disappeared and I've spent days searching for the app in the ITunes store but it's not there.

It's also not within my ITunes program on my PC so my only option is to re-do the whole bloody thing! That's why I'm wondering whether to create a database now or just recreate the Workbook? If I can design a database can I have a hidden area for the sensitive data? Or if not can I have this within Excel?

Sooooo - over to you guys, what do you think (and no jokes about not writing the password down :4-thatsba, it was a silly mistake to make and one of those lessons learned :smile:)

Wow 38 views and no replies :sigh: perhaps my question really is a hard one?

I'll try bumping it just incase someone new has a read and has an idea for me. In the meantime I'll try finding a pre-designed database!

Over 60 views and no replies, I'm beginning to wonder whether what I'm looking for in a database just isn't out there? I've started putting the data into a spreadsheet but it really looks naff, never mind :(
